Overview
Effortlessly handle student enrollment in groups, assign Group Leaders, manage course subscriptions, and view student progress reports per course with the comprehensive Group Registration plugin for LearnDash.
Installation, Activation, and Prerequisites
Before getting started with “Group Registration”, please ensure you have the LearnDash LMS plugin installed and activated, that your site meets or exceeds our prerequisites, and you have the add-on properly installed and activated.
Getting Started with WooCommerce

- As mentioned before, make sure your LearnDash LMS plugin is installed and activated.
- Install WooCommerce: You can do this by navigating to Plugins > Add New > Search for WooCommerce in the WordPress plugin repository > click Install and then Activate.
- Install the LearnDash WooCommerce integration following this guide.
- Now install the Group Registration plugin and activate it.
- Go to Plugins> Add New
- Click Upload Plugin
- Browse for and select the file that you downloaded after purchase. It will be in a .zip format.
- Click Install Now
- Click Activate Plugin

Setting up your Group Registration:
Create a Product:
- Make sure you have followed all the steps of the WooCommerce set up guide (is activated when WooCommerce is activated)
- Now you are ready to start creating Products.
- Navigate to Products > All Products > Add New.
- Add the name of the Product.
- Select the Product Type as Simple Product.
- Select the Virtual checkbox next to Product type.
- Fill in the price details.
- From the Related Courses Section, associate the Group Product with the Courses you wish to add to this Group.
- Go to Inventory > Make sure the Sold Individually checkbox is unchecked.



Group Registration Settings:
- Once you have completed the steps above, scroll to the bottom of the Edit Product Page.
- There is a checkbox called Enable Group Registration checkbox.
- Check that setting and a bunch of other settings will appear.
- The Allow users to check Enable Group Registration on the Front End will allow the users to select whether they want to purchase an Individual or a Group Product when they visit the Product Page. (Note: If the Group Leader wishes to add more seats to his/her Group, he/she will just need to purchase the required number of seats of the same Product.)
- The Ask Group Leader to pay for course access setting will force the Group Leader to pay for his/her seat as well.
- The Unlimited Members Setting allows the user to purchase unlimited seats, and also allows you to enter a price for the same.
- Once you have configured these settings according to your specifics, you can go ahead and Publish the product.
- Your Group Product is now ready.

Creating a LearnDash Group Product and Assigning a Group Leader
- Once the product is created and published, you are ready to view the Product on the front-end and so are the users on the site.
- Once a user purchases the Group Product created by you, that specific user becomes the Group Leader.
- Once the purchase is complete, a Group (with the Group Name if the user has entered it) with the default name same as the Product is created. This happens automatically.
- You can check the auto-created Group on the backend of your WordPress under LearnDash LMS > Groups.


Managing Groups as a Group Leader
- Once you activate the WISDM Group Registration Plugin, a Page (in your WordPress backend, under Pages > All Pages) is created automatically with the name Group Dashboard.
- In case the page was not created, you can simply create this page by navigating to Pages > Add New, then select a shortcode block and add the shortcode[wdm_group_users]
- Note: Only the administrator and/or Group Leader can view the above-mentioned page.
- The administrator can see all the Groups with all the users enrolled in those groups on the Groups Dashboard Page. This is because administrators are Group Leader of all Groups by default.
- The Group Leader will only be able to select, view and manage the Groups that he/she is group leader of.

How to Use the Groups Dashboard?
- The setup of the Groups Dashboard Page has been explained above. It is extremely simple, just add a new page under Pages on your WordPress backend and add a shortcode block with the shortcode[wdm_group_users]
- Once the Group Leader views this page, there is a drop-down menu that will help the Group Leader select which group he/she wants to view/manage (incase the Group Leader is a leader of more than 1 Group)
- Once, the Group Leader selects the Group he/she wants to view, the User Registrations Left for that particular group is shown under the name User Registrations Left:
- Now, there are 3-4 tabs the Group Leader can see on the Groups Dashboard Page depending on other settings. (If Group Code is turned on 4 tabs are seen)
- The Enrolled Users Tab:This tab will essentially show the Group Leader all the Users enrolled in the particular Group and will also allow him/her to search for enrolled users and also remove or send invites to the enrolled users.
- The Enroll New User Tab:As the name suggests, the Enroll New User tab allows the Group Leader to enrol new users into the group selected wither individually or in a bulk-upload fashion using a CSV file. While enrolling it allows the Group Leader to enter the first name, last name and the email address of the enrollees. CSV upload is toggled from the Upload Users tab within the Enroll New User Tab.
- The Report Tab:This tab allows you to view student reports. All the Group Leaders need to do is select the which Course they want to view the student reports for using the drop-down menu within the Report Tab. A list of students with their reports will appear.
- The Group Code Tab (only appears if the Group Code Setting is activated under LearnDash LMS > Group Registration Setting > Group Code): This tab allows Group Leaders to create Group Codes for specific groups. The Group Code can be shared with users who can self-register using the Group Registration form.
Once the Group Leader clicks on the Create Group Code Button, a bunch of settings open.
The first one is the name of the Group Code, where you can manually enter it or Generate a new one.
The From & To is to define how long will the Group Code will be valid for.
The Validation Rules setting is to define which IP Address and Domain name you want to restrict the user registration to.
The Status Setting is just to activate/deactivate the Group Code at any time. - Note: If the User Registrations Left: is zero, the Group Leaders will not see the Enroll New User Tab. In this case the Group Leader can just purchase more seats of the same Product and the seats will automatically be added to their Group. Or, the admin can edit the Group and increase the Registrations from the Group Registrations Left: field.

Assign the Group Leader of the GroupHow can Admins add/remove users and/or the number of seats in a Group:Prior to the Group Reg. For LearnDash v4.3.8, there was a Seats Left Count on the Edit Product Page as shown in the screenshot below. Using this the admin could control the number of seats leftin the group as opposed to controlling the Total number of seats in the group:

This new field/count was introduced to make sure admins can easily control the Total Seats and in-turn the Seats Left in the group as well as do the same for an existing group that has already been purchased by a Group Leader.
New Screenshot for the Group Registration Left Metabox on Group Edit PageHeres how it works:Create or Add SeatsLets say you, as an admin, are creating a new group:As soon as you name the Group on the Edit Group Page, you will see an editable Total Seats Field.Lets assume you need 50 seats in the group, and hence, you enter the number 50 in the Total Seats field and hit Save.This will add 50 seats to the Group and save the Seats Left Count (this field is not editable) as 50 to indicate that the total seats left to register are 50 (since this is a new group and no user has been enrolled as of yet).Now, if your Group Leader has enrolled 50 seats and needs more seats to be added to the Group to enroll more users to the group:In this case, since all 50 seats are registered, the Seats Left Count will be 0.Now, lets say the admin edits the Total Seats and changes it from 50 to 55.Now, since 5 additional seats were added, the Total Seats count gets updated to 55 and the Seats Left count will automatically change to 5.Remove SeatsLets say you, as an admin, need to remove seats from an existing Group:Lets assume you have a Group that already has users enrolled and being managed by a Group Leader from the Groups Dashboard.Lets say this Group Leader purchased 50 seats initially and has registered 45 users in the Group.This means that the Total Seats Count is now set at 50 and the Seats Left Count is now set at 5.Now, lets assume that you as an admin need to remove a few seats from this Group:If the number of seats you are removing is lesser than the Seats Left in the Group:For example: You choose to remove 4 seats and hence edit the Total Seats field and change it from 50 to 46. In this case, since the number of Seats you are removing (4) is lesser than the Seats Left in the Group (5), the Total Seats will get saved as 46 and the Seats Left will automatically change to 1.If the number of seats you are removing is greater than Seats Left in the Group:For example: You choose to remove 6 seats and hence edit the Total Seats field and change it from 50 to 44. In this case, since the number of Seats you are removing (6) is greater than the Seats Left in the Group (5), a warning message will be displayed since you are trying to remove more seats than available for removal and the Total Seats will stay as 50 and the Seats Left as 5.All the changes made by the admin to Total Seats and in-turn the Seats Left fields on the Group Edit Page, will be reflected as is on the Groups Dashboard Page for the Group Leader as shown in the Screenshot below.

Create a new Woo product from the WooCommerce product creation screen. Add the Courses to the product using the LearnDash Courses option as shown in the above screenshot.
Note : Please don’t add anything in the Learndash Group option.
By default, the course product types quantity cannot be increased. So, to allow users to purchase multiple copies of a single course, set the product type asSimple Productand checkEnable Group Registrationoption

Within our plugins context, youll find the Group Management Page discreetly labeled as theGroups Dashboard Page

Once the plugin is activated, a new page is automatically created in your website with the titleGroup Dashboard. This is the main page responsible for handling all group management related activities after a group product is purchased.
You can add this page to your menu for easier accessibility or you can redirect group leaders to this page on login from theLearnDash LMS > Group Registration SettingsPage.

Configure group leader course accessBy default, the customer buying the grouped product has free access to all the courses related to that product. The Admin is now able to decide whether or not the Group Leader will be enrolled by default into the course, irrespective of the licenses purchased.If this option is checked, the Group Leader can choose to pay for his/her course or buy bulk licenses without enrolling himself/herself in the course. If you wish to disable group leader access and request payment for his/her access check theAsk Group Leader to pay for course accesssetting.

Enrolling Students
The Group Leader has to enter the students name and email id to enroll a student for a course. If a WordPress user does not exist for the student, a new user is created and the student is registered for the course. If the user already exists, he/she is automatically added to the group and enrolled in all the groups courses.Re-Inviting StudentsRe-invite group users settingIn case the newly enrolled user lose access to their account credentials or forget their password. InLearnDash LMSÔ××Group Registration Settingson enabling the optionAllow Group Leaders to Reinvite Group Users, the group leader can re-invite group user. Once the invitation is sent, the user will receive an email containing their group details, username and password reset link. The admin can also customize the invitation email template.
Re-inviteRemoving Students
ARemoveaction is available in case the Group Leader wants to unregister a student. However, clicking on theRemoveaction only sends a remove request to the Admin, and does not remove the student directly.
Under every groupLearnDash Ô×× LMS Groups Ô××GroupName, the Admin has the option to Accept or Reject Remove requests sent by the Group Leader.Reporting
The Group Leader can access reports for a course that the Group Leader has purchased. From the drop down, the Group Leader can select a course and the reports for the users who have attempted the course will be displayed.The Group Leader can see the Course progress, Quiz Statistics and Certificates.Features: Performing Bulk ActionsBulk actions allow admins to make quick work of large scale additions or removals of information.Bulk Enrollments
Bulk Upload Users Via CSVGroup Leaders can upload a CSV file to enroll members to the group. The format for the CSV file needs to be: First Name, Last Name, Email id.A sample CSV file can be downloaded from the group registration page.The users enrolled via this method will receive emails as per the email settings configured in the WISDM Group Registration plugin email settings section.If the number of seats remaining are lesser than the users in the CSV, then the group leader will get an error notice that the group limit has exceeded.Bulk Removal

On theGroup Registrationpage, the Group Leader can change the group name by clicking on the Edit group details button.

Features: Bulk DiscountsYou can configure your group registration products with global bulk discounts, product level or disable them altoghether.Global Discounts
Global Bulk DiscountsVisit the Group Registration settings page from LearnDash LMS -> Group Registration Settings.On the general settings tab you will see the Bulk Discounts at the end, enable it.Global Bulk discounts allows the administrator to configure percentage discounts to be applied on all the group registration products.You can add 1 or more discount rules for the percentage discount to be applied against a minimum quantity of the product purchased.Note:You cannot have more than 1 rule with the same Minimum Quantity.Product Specific Discounts
Product Specific DiscountsSimilar to global bulk discounts, you can configure discounts for specific products for which you may change the discount settings as compared to the rest of the products or disable them for that product.As per your need set theBulk Discount Settingwhile configuring the product. When configuring bulk discounts you have an additional option to configure bulk discounts either on percentage or a fixed amount.Features: Sub GroupsWith LearnDash now supporting group hierarchy you can make most of it now using our sub-groups management feature from the groups dashboard.First, enable sub-groups in the groups hierarchy setting from the LearnDash Group Settings page under Global Group Management and Display Settings.
LearnDash Group Hierarchy settingsOnce you have enabled the setting, you can create and manage sub-groups from the groups dashboard.Create Sub GroupYou can create new sub-groups from the groups dashboard under the Sub-Group tab by clicking on the Create New Sub-Group button.
Sub-Groups tab on Groups DashboardThis will display the new sub-group creation form with the following fieldsSub Group Name: The name of the sub-groupNumber of Seats: The number of seats to be allocated to the sub-group. The seats for the sub-group being created will be taken from the parent group and deducted once the sub-group has been created.Sub Group Leader: Choose a sub-group leader from the list of users currently enrolled in the parent group. The selected user will become a group leader who will have access to the sub-group like any other group from the groups dashboard.Add Users: Users to be transferred from the parent group to the sub-group. Selected users will no longer be a member of the parent group and the course access will also be restricted to that of the sub-group.Courses: List of courses to be allocated to the sub-group. Users enrolled in the sub-group will have access to these courses.

Fields provided while editing the sub-group are same as the ones provided during creation.Manage Sub GroupThe admin and/or group leader can view the list of groups and sub-groups from the groups dashboard.
Groups Dashboard ListYou can access the group/sub-group by clicking on the name of the respective group/sub-group.One can always know the parent group of a sub-group from the groups dashboard as shown in the section below.
Parent Group details on sub-groupManaging a sub-group is similar to managing any normal group just with the difference that there will not be any sub-groups tab.Which means that we cannot create sub-groups from sub-groups.Features: Additional Group OptionsAs of LearnDash Group Registration v4.3.0, the following features are available to your Group Leaders:Create/purchase multiple groups of the same woocommerce group product.Increase seats of existing groups.Add courses to existing groups.This update will also enable the admin to:Allow Group Leaders/users who purchase the Group Product to add additional courses to the purchase.Set the prices of the additional courses sold according to their need.With the older versions of the Group Reg. plugin (v4.2.3), Group Leaders could only add additional seats/members to their existing group on purchasing the same Group Product that they purchased initially.With this version (v4.3.0), there is more flexibility offered to your Group Leaders for a smooth Group Management experience, where the Group Leaders who already have a group can add more seats/members to their Group, create a new Group (if needed) while purchasing the same Group Product and will also be able to add new courses to an existing/new group (if needed).Sell more Courses with Improved Pricing ControlNo need to worry about how the additional courses (other than the ones already in the Group Product) are priced. This update also gives the admin flexible options in order to sell additional courses at the kind of prices that will suit them best.
